The accounts payable department of our customer in the consumer goods industry faces the challenge of processing thousands of invoices every month. A large portion of these invoices can be automatically processed by an existing system. Unfortunately, not all suppliers are compatible with this system, so approximately 1,000 invoices per month have to be processed manually.

The respective team manages this by locally storing the invoices, manually entering all relevant information such as invoice number, date, amount, etc. into the ERP system, identifying the appropriate cost center, and forwarding the invoice to the corresponding approver.

Our solution approach is based on a combination of Agentic AI and RPA. The AI agent is the “brain” of the solution, as it reads all relevant invoice information and identifies the cost center and approver. The software robot then transfers the extracted data and the document into the ERP system.

The deployed agent is also capable of making the right decisions, for example, if the warehouse address is missing, it can independently find it based on the invoice context.

Now, all invoices can be processed 100% automatically, even if information is missing.
